Numbering

For numbering and numbers, follow the format and MARC field placement exactly:

ASM Accession Number

ASM Accession Number is used as both the holding call number for an item and as an informational general note in the bibliographic record.  The ASM Accession Number is assigned to every museum-accessioned item that the museum acquires. 

Prior to January 2003, the ASM Accession Number was used by only he Repository Collection on all their documents.  After January 2003, the ASM Accession Number is used by the Repository Collection, AZSITE Records Office (Site File Office) and the Archives for all the reports/documents that they receive.  

Enter as:   ASM(space)ACC(space)yyyy(dash) nn(n)(n)

Example:  ASM ACC 2003-29

Enter in the 099, 590 and 852 MARC fields only.

When used as a shelf location/call number, enter the ASM Accession Number in the 099 MARC field subfield $a.  First indicator is blank, second indicator is 9.

When used as an information note, enter the ASM Accession Number in the 590 MARC field subfield $a.  First and second indicator values are left blank. 

Enter the ASM Accession Number in 590 MARC field before the ASM BIBLO number field, if there is an ASM BIBLIO number in the record.  

When used in the holding record, enter the ASM ACC Accession Number in 852 MARC field subfield $h.  It acts as the call number/ocation for the item. First indicator is 8, second indicator is blank.

AZSITE Number

AZSITE numbers are numbers assigned to reports/documents received by the Site Files Office/Records Office prior to January 2003.  After January 2003 AZSITE Records Office began using the ASM ACC Accession Number.

Enter as:   ASM SFO AZPROJ yyyy-nn(n)(n)

Example:  ASM SFO AZPROJ 2000-23

Enter in the 099, 590 and 852 MARC fields only.

When used as a shelf location/call number, enter the AZSITE number in the 099 MARC field subfield $a.  First indicator is blank, second indicator is 9.

When used as an information note, e nter the AZSITE number in the 590 MARC field 590 subfield $a.  First and second indicator values are left blank. 

Enter the AZSITE number in 590 MARC field before the ASM BIBLO number field, if there is an ASM BIBLIO number in the record.  

When used in the holding record, e nter the AZSITE number in the holding record in 852 MARC field 852, subfield $h.  It becomes the call number for the item.  First indicator is 8, second indicator is blank.

ASM BIBLIO Number

ASM BIBLIO numbers are numbers from the old ASM Regis database that were carried forward to bibliographic records during the recon to the Voyager system.

Enter as:   ASM(space)BIBLIO(space)nn(n)(n)

Example:  ASM BIBLIO 12

Enter the ASM BIBLIO number in the 590 MARC field subfield $a.  First and second indicators are left blank.  Enter this number is the last 590 MARC field in the record.

Library of Congress Call Number

Library of Congress Call Numbers are Library of Congress classification numbers that the Library uses to shelve items.

Enter as: E78.A7 B74 1998 no. 313 c. 2

Enter in the bibliographic record in the 090 MARC field and in the holding record in the 852 MARC field.

In the bibliographic record's 090 MARC field, first and second indicators are blank.  Enter the complete LC class number in subfield $a and enter the Cutter extension and year/no/vol. information in subfield $b.

Example:  $a E78.A7 $b B74 1998 no. 313

Example:  $a E78.A7 $b B74 1998 no. 313 c. 2

Example:  $a F1219 $b .S54 v. 1/pt. 2

In the holding record's 852 MARC field, enter in subfield $b the appropriate location in the Library. In subfield $h enter the LC class number and in subfield $i enter the Cutter number and year and/or number extensions and/or copy number. Also enter the copy information in the item record under Copy.
