Archaeological Records Office Online Payments

The Arizona State Museum’s Archaeological Records Office is located in Room 207, main floor of ASM's South Building on the UA Campus. The office is open by appointment only between 9:00 a.m. and 4:00 p.m. Tuesday and Thursday only, University holidays excluded

The office holds documents which, under public records laws, are open for inspection on request. Because of the confidential nature of site location information, ASM has the legal authority to determine who may review archaeological records in its files.

Users must make an appointment to see the files. The files are heavily used and it is not always possible to accommodate all users at the times requested.

To use the Archaeological Records:

  1. Make an appointment:  call 520-621-4011 or email the Archaeological Records Office.
  2. Sign in when you arrive and sign out when you leave. First time users will be asked to complete an ASM Archaeological Records Office Use AgreementOpens in a new window (PDF *) and a staff member or student worker will orient you to the various filing systems.
    • NOTE:  No digital or filmed photography, personal scanners or copy machines are allowed, and no documents may leave the Archaeological Records Office for any reason.
  3. Archaeological Records staff can research materials for you, if you complete the Records Request Form and submit it via email to azsite@email.arizona.edu.
    • Please include a shape file of your project area requiring research or a 1:24,000 scale map with your project area clearly marked.
    • Provide at least 1 or 2 sets of township/range/section and quad information to ensure we are searching the correct area.
    • Be sure to specify what information you need—site cards, reports, project forms, etc.
    • Staff research for site file checks will be billed to you at $35 per square mile, plus applicable scanning charges for requested documents ($.50 per page).  We do not provide Xerox copies, only scanned images.
    • If you need copies of reports, be sure to provide a full citation.  For site cards, we need the entire site number.  Project Registration Form (PRFs) copies require the ASM Accession/Project number.
    • Due to the volume of requests, it is unlikely that requests for document copies can be accomplished the same day.
    • Requests will be handled in the order in which they are received.  Turnaround time will usually be 5 to 7 business days.
  4. Scanned images of all documents are available. AZSITE users have free access to site recordings and project registration forms that have already been scanned. Requests for site records not already scanned, all requests for reports and any request by non-AZSITE users will be charged a $.50 per page fee and scanned images will be returned via a secured FTP site.
  5. We no longer accept faxed requests nor do we return documents via fax.  If you have a request, send it as an email attachment using the proper form cited above, or snail mail it to:   Archaeological Records Office, 1013 East University, University of Arizona, Tucson, AZ 85721-0026

  7. ASM reserves the right to question all users as to the reason for accessing Archaeological Records information and to deny access under ARS §39-125Opens in a new window if it is determined that release of information may cause damage to the archaeological record.

Lastly, we assume that all users recognize the confidential nature of the information held in these files and that improper use of this information may result in irretrievable damage to valuable cultural resources. Once you obtain photocopies of information, it is your responsibility to insure that information is held secure. Should it be determined that information released from ASM’s files was used in any way that damaged cultural resources, the people to whom the information was released may be denied further access to the files and legal remedies will be pursued.
